Short Courses Terms and Conditions 2012-2013

1. Payment terms          

Payment for all courses and accommodation must be completed before the start of the course or within 30 days of invoice date, whichever is the sooner. Bookings will not be confirmed until payment has been received and payment does not determine that a class will run. If a Student has difficulty in paying the total fee before the course starts, they should speak to a member of the Short Course Team at the earliest The College reserves the right to refuse admission to any student who has not paid tuition and accommodation fees in full before the course begins.       

ILA Scotland Account holders should hand over their ILA tokens, signed and dated, by the start of the course or posted up before the start of the course. Failure to produce tokens will result in having to pay the full balance of course and accommodation fees where applicable.              

We accept payment by cash, cheques or selected credit/debit cards.  Bank transfers can be arranged, a bank charge may occur, if so, the student must pay this, not the College.               

2. Cancellations, transfers and non-attendance              

All cancellations and requests to transfer to another course must be made in writing to the Short Course Team either by email or letter and will be acknowledged in writing.       

2.1 Transfers (Course and Accommodation)      

There is no charge for transferring to an alternative course date, provided there is availability on other dates.  

2.2 Cancellations           

By the college 

A minimum enrolment is necessary to make each course viable. We reserve the right to cancel a course at any time and offer an alternative date, a credit or a refund without any liability for consequential or indirect loss. As a general rule, a minimum of 6 students per class is necessary for the class to run.           

By the student:
If you cancel your application for a course, the following procedures and cancellation fees apply:            

No. of working days before the course starts:  

21 working days:             A full refund will be made by the College.           
15-20 working days:    You will be refunded 75 % of the course fees     
11-14 working days:    You will be refunded 50 % of the course fees.   
0-10 working days:          No refund will be given on the course fees.        

Accommodation cancellation is subject to a standard 10% charge within 21 days before the course begins.         

If the participant fails to attend the course, the full course fees are payable. Any outstanding balances remaining after the date of the course will remain on record and students will be invoiced. This may effect any future booking the student may make.
 

3. College Policy            

All students must attend the registration session where students will be given further information on class rooms, directions, tutors, evening activities and any other relevant information for that week'€Ž.

3.1 Code of Conduct     

When you enroll for a course, you automatically agree to abide by the College'€™s Code of Conduct and all College Policy, including behavioural policy and class rules.  All relevant policies are on the College website.  [http://www.smo.uhi.ac.uk/FOI/index_en.html]             

3.2 Unacceptable Behaviour     

In the interest of all course participants and staff, the college reserves the right to enforce the removal of any students from a course whose behaviour or demeanour is considered rude or unacceptable.

4. Data Protection         

Computerised records of participant details are necessary for course administration. Attendance at courses implies acceptance of this by individual students. Such records will be maintained in accordance with SMO'€™s data protection procedure and the Data Protection Act.              

5. Photographs and Filming of Students              

The College Staff may take images of students during courses, site visits and other related functions, and reserves the right to use these images for marketing and advertising purposes. Students' individual consent for this will be assumed to have been granted unless otherwise indicated by students prior to the start of the course.

Payments

All course and accommodation payments will be taken when we confirm your place on a course.

Discounts

Discounts will only usually be offered to full-time students or school pupils.  Verification & evidence will be required.   

ILA 200

Our Gaelic courses are eligible for ILA Scotland contributions.  Visit www.ilascotland.org.uk for more information.          

Online booking              

Online booking will be available as soon as courses have been confirmed and then you will be able to see how many places are available on each course every working day of the year. Just choose your course at www.smo.uhi.ac.uk/cg.  If a course is fully booked, you will not be able to make an online application, however, if that'€™s the only week suitable and it'€™s full, call us and register your interest. Sometimes Students withdraw from course and their place maybe given to a student who wished to attend the course.  We can often run more than one class at the same level, if there is enough interest.        

We will no longer accept bookings through the post.  For students who are unable to complete an online application for any reason, assistance and guidance can be provided by a member of the Short Course Team by contacting them on +44 (0) 1471 888 240 or by email cg.smo@uhi.ac.uk.      

We advise students not to repeat the same course more than 3 times and students will be encouraged to progress to the next suitable level where possible.  We appreciate that some students prefer certain teaching styles; however we feel that students may not reap the maximum benefit of attending the College by repeating a course run by the same tutor.

When enroling for a course, participants can only do one course per week.
